Information we collect
We aim to collect only the personal information we need. Depending on how you use the site, this may include:
- Information you give us — your name, email address, subject and message when you use our contact form, and your email address when you subscribe to our newsletter.
- Technical information — such as your IP address, browser type, device type, operating system, referring page, pages viewed and the date and time of your visit. Our hosting provider records some of this automatically in server logs for security and reliability.
- Cookie and similar technology data — as described in our Cookie Policy. Optional cookies are used only with your consent.
We do not knowingly ask for sensitive information such as health or financial details through this site. Please do not include sensitive information in contact form messages.
Contact form information
When you send a message through our contact form, we collect your name, email address, subject and message, along with the date and time of submission. We use this information only to read and respond to your enquiry, keep a record of our correspondence and, where relevant, correct or update our content.
To reduce spam, the form uses a hidden “honeypot” field and a timing check. These checks do not create a profile of you.
Newsletter subscriptions
If you subscribe to The Dispatch, we collect your email address and the date of subscription so we can send you occasional emails with outdoor ideas, destination inspiration and updates from Cedar Line Dispatch. We send newsletters only with your consent, in line with Canada’s Anti-Spam Legislation (CASL).
Every newsletter includes an unsubscribe link, and you can also unsubscribe by emailing us. We will process unsubscribe requests promptly and within the time required by law.
Analytics
With your consent, we may use web analytics services such as Google Analytics to understand how visitors use the site — for example, which pages are visited and how people arrive at the site. This information is used in aggregate to improve our content and site performance. Analytics cookies are not set unless you allow them through our cookie banner or preferences panel.
Cookies
We use essential cookies that are necessary for the site to work, including a cookie that remembers your cookie choices. Optional cookies for analytics, advertising measurement and preferences are used only with your consent. You can change your choices at any time using the “Cookie settings” link in the footer. Full details are in our Cookie Policy.
Advertising measurement
We may advertise Cedar Line Dispatch on platforms such as Google Ads. With your consent, we may use advertising measurement tools (for example, Google Ads conversion measurement) to understand whether those ads bring visitors to our site. If you do not consent, these tools are not loaded and Google Consent Mode signals that advertising storage is denied.
We do not sell your personal information, and we do not display third-party advertising on this site at this time.
IP address and device information
Like most websites, our hosting and security systems process IP addresses and basic device information to deliver pages, protect the site from abuse and diagnose technical problems. Where analytics is enabled with your consent, we configure it to minimise the data collected where the tool allows.
Why we use personal information
We use personal information for the following purposes:
- to respond to enquiries and correction requests;
- to send newsletters to people who have subscribed;
- to operate, secure and maintain the website;
- to understand how the site is used and improve it (with consent);
- to measure the effectiveness of our own advertising (with consent);
- to comply with legal obligations and protect our rights.
We will not use your personal information for a new purpose without identifying that purpose and, where required, obtaining your consent.
Service providers
We use trusted third-party service providers to help us run the site. These may include website hosting and content delivery providers, form-handling and email delivery services, newsletter services, and, with your consent, analytics and advertising measurement providers such as Google.
These providers process personal information on our behalf and only for the purposes described in this policy. We require them to protect personal information appropriately. We do not sell or rent personal information to anyone.
We may disclose personal information if required by law, or to protect the rights, safety or property of Cedar Line Dispatch, our readers or others.
Retention
We keep personal information only as long as needed for the purposes described above, or as required by law:
- Contact form messages — generally up to 24 months after our last correspondence, unless a longer period is needed to resolve an issue.
- Newsletter subscriptions — while you remain subscribed. After you unsubscribe, we keep a minimal record of your email address and unsubscribe date so we can respect your choice.
- Server logs — for a limited period set by our hosting provider, typically measured in days or weeks.
- Analytics data — according to the retention settings of the analytics tool, which we set to the shortest practical period.
When information is no longer needed, we delete it or make it anonymous.
Security
We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information, including encrypted connections (HTTPS) and access controls with our service providers. No method of transmission or storage is completely secure, but we work to protect personal information against loss, theft and unauthorised access, use or disclosure.
International processing
Some of our service providers may store or process information outside Canada, including in the United States. When this happens, the information is subject to the laws of those countries and may be accessible to their courts, law enforcement and national security authorities. We take steps through our agreements with providers to ensure your information receives a comparable level of protection.
Your rights and choices
Subject to applicable law, you can:
- ask whether we hold personal information about you and request access to it;
- ask us to correct information that is inaccurate or incomplete;
- withdraw your consent at any time, subject to legal or contractual restrictions — for example, by unsubscribing from the newsletter or changing your cookie settings;
- ask us to delete personal information we no longer need;
- make a complaint about how we handle your personal information.
To make a request, email us at contact@cedarlinedispatch.co. We may need to verify your identity before responding. We aim to respond within 30 days.
Canadian privacy law and PIPEDA
We handle personal information in accordance with applicable Canadian privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA) where it applies, and its fair information principles: accountability, identifying purposes, consent, limiting collection, limiting use, disclosure and retention, accuracy, safeguards, openness, individual access and challenging compliance.
Residents of Quebec may also have rights under Quebec’s Act respecting the protection of personal information in the private sector.
If you have a concern, please contact us first so we can try to resolve it. You also have the right to contact the Office of the Privacy Commissioner of Canada or, where applicable, your provincial privacy regulator.
Children
This site is intended for a general adult audience. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. When we do, we will change the “Last updated” date at the top of this page. If changes are significant, we will take reasonable steps to let you know.
